Position: Finance Assistant

Department: Finance

Employment Status: Permanent - Full-Time - Non-Exempt

Schedule: Monday-Friday 7:00am-5:30pm 

Compensation: Grade 3; Salary range starting at $17.76/hour

POSITION SUMMARY 

Works under the supervision of the Assistant Finance Director and performs clerical and office support duties including processing of incoming and outgoing mail; filing and scanning; back-up cashier; miscellaneous billings; and track and reconcile online payments. Performs duties in compliance with City Code, State regulations, and departmental polices and directives.  

ESSENTIAL DUTIES - KNOWLEDGE – SKILLS - ABILITIES 

  • Receives, opens, and distributes all incoming mail. Processes outgoing mail using postage machine.
  • Establishes and maintains filing system for the Finance Department.
  • Sets up and utilizes scanning and e-filing to maintain departmental records.
  • Acts as back-up cashier in the absence of cashier or during high customer volume.
  • Receipts revenue that comes in by mail, email, counter, other departments, etc.
  • Balances drawer and revenue reports daily.
  • Prepares bank deposits.
  • Identifies non-sufficient funds (NSF’s) and follows up for collection.
  • Prepares and tracks miscellaneous billings such as rent.
  • Prints daily reports from multiple online payment portals and maintains list of collections. Reconcile amounts to actual received and internal reports.
  • Cross trains on various duties within the Finance Department.
  • Serves as point of contact with Enterprise and department heads for the management of the leased fleet vehicles.
  • Maintains detailed records on all Enterprise fleet vehicles.
  • Be aware of and meet all deadlines for month-end, quarter-end, and year-end closing procedures.
  • Participates in developmental and educational opportunities.
  • Other duties as assigned.
  • Knows how to use computer hardware and software including Microsoft Office, email, accounting software and internet browser programs. Ability to learn new software.
  • Work independently to accomplish assigned tasks with the ability to anticipate challenges and provide solutions to the Assistant Finance Director
  • Thoroughness and meticulous attention to detail
  • Ability to work as a team with other Finance Department staff to complete department deadlines and projects.
  • Ability to work in a fast-paced, sometimes hectic environment while interacting professionally with staff and customers.

WORKING CONDITIONS & PHYSICAL REQUIREMENTS 

  • Office work only. Good working conditions with almost complete absence of physically demanding, unpleasant, strenuous, and/or hazardous elements.
  • While performing the duties of this job, the employee is regularly required to type, file, or lift office supplies up to 20 pounds. The employee is frequently required to sit, stand, talk, and hear. 

USE OF TECHNOLOGY & EQUIPMENT 

  • Position has daily use of computers, the Internet, Smartphones, etc. to create databases, spreadsheets, or reports. Position designs and creates customized reports, presentations, and/or documents using advanced software skills. 

CONTACT & SUPERVISION 

  • Position involves frequent internal contact and regular contact with outsiders generally on routine matters, including contact with irate outsiders which require some public relations skill for taking complaints for others to follow up upon.
  • This position is not responsible for the supervision of other employees.
  • This position works under the supervision of the Assistant Finance Director and the Finance Director.

Requirements

MINIMUM REQUIREMENTS

Education: 

  • Applicants must possess a high school diploma or equivalent. 

Experience:

  • 1-3 years of work experience as an office assistant or cashier. 

Preferred Qualifications

  • Customer service experience. 
  • Intermediate user of Microsoft Excel, Word and Outlook. 
  • Additional training in accounting or finance.
